Sharing Files

Copera Drive makes it easy to collaborate by sharing files and folders with specific workspace members or with anyone via public links. Sharing controls let you decide exactly who can access your content and what they can do with it.

Internal Sharing

Internal sharing lets you grant access to specific people within your workspace. To share a file or folder:

  1. Right-click the item and select Share, or click the share icon on the item's row.
  2. In the sharing dialog, search for and select workspace members you want to share with.
  3. Confirm your selection to add them as participants.

When you share content, the recipients receive a notification and the item appears in their Shared with me section. Sharing a folder automatically grants access to all files and subfolders within it.

Permission Levels

Every participant on a shared file or folder has one of three permission levels:

When you first share an item, new participants are added with Viewer permission by default. To change someone's permission level:

  1. Open the sharing dialog for the item.
  2. Find the participant whose role you want to change.
  3. Select the new role from the permission dropdown next to their name.

Only users with Admin permission (or the file owner) can change other participants' permissions.

Sharing Folders

When you share a folder, all of its contents -- including subfolders and files -- become accessible to the participants. The permission level you set on the folder applies to everything inside it. This means you can organize an entire project's files in a folder and share it once, rather than sharing each file individually.

If a participant is added to both a parent folder and a specific file inside it, the more specific permission (on the file itself) takes precedence.

For situations where you need to share a file with someone outside your workspace, you can generate a public link:

  1. Right-click the file or folder and select Share.
  2. In the sharing dialog, enable the Public link toggle.
  3. Copy the generated link and send it to anyone.

Public links allow anyone with the link to access the content without needing a Copera account. When you enable a public link on a folder, public links are also generated for all files within that folder.

To disable a public link:

  1. Open the sharing dialog for the item.
  2. Turn off the Public link toggle.

Once revoked, the link immediately stops working. If the item is a folder, public links for all contained files are revoked as well. Only users with Admin permission on the item can create or revoke public links.

Removing Participants

To remove someone's access to a shared file or folder:

  1. Open the sharing dialog.
  2. Click the remove button next to the participant's name.

The item will disappear from their Shared with me section. Note that the content owner cannot be removed from their own file.

Leaving Shared Content

If you have access to a file or folder that was shared with you and you no longer need it, you can leave the shared content. This removes your access voluntarily. If your access was inherited from a parent folder, you must leave the parent folder instead.

Transfer Ownership

Admins and file owners can transfer ownership of a file or folder to another workspace member. The previous owner becomes a participant with access, while the new owner gains full control over the item.
