AI in Office Files

Copera's AI can read, write and edit your documents, spreadsheets and presentations, and every change it makes can be reverted later. Inside a file, the AI panel works on that one file. Across Drive, AI Chat and your agents can create new files and edit several files in one request. Either way, the file's AI changes list shows what the AI changed, and you can undo any of it at any time.

The AI Panel in a File

Click AI Chat in the file header to open the panel. Its header reads AI Chat · this document (or spreadsheet, presentation, Markdown file), with the label Can only edit this document and the note "To work across files, boards or chats, use AI Chat in the right rail."

1. Type what you want, for example "Tighten the liability clause", "Add a variance column against Q3" or "Rewrite the speaker notes".
2. Use @ to mention a board or another file the AI should read for context. The AI can read what you mention, but it only edits the open file.
3. The change appears in the file for everyone who has it open, and the panel shows a short receipt of what changed.

If you ask the panel to change a different file or a board, it tells you to use AI Chat instead.

AI Chat Across Files

AI Chat can create new files and edit existing ones, even while other people are working in them. Open it from the right rail on any page (including inside a file), from the AI Chat area, or from the composer on Drive Home. For example:

• "Draft the Acme services agreement from the deal on the Sales CRM board and put it with our other contracts."
• "Update the Q4 budget with the new event costs and add a slide about it to the Investor Day deck."

AI Chat tells you which files it created or changed, with a link to each. New files are saved in the Drive folder you are working in when you ask; otherwise AI Chat saves them in My Disk or where you tell it to.

What the AI Can Do in Each Format

Pictures in Documents and Presentations

The AI can put pictures into Word documents and PowerPoint presentations, both when it creates a file and when it edits one. It can use:

• An image you attach to your AI Chat message or to a chat.
• An image file in Drive.
• An image AI Chat generated for you.
• A picture from a public web address.

For example, attach your logo and ask "Put this logo on the title slide", or ask "Add the team photo from the Brand folder under the introduction". The AI can also replace an existing picture. It only uses images you can open.

The AI can also read the whole file to answer questions, summarize it or check it for problems, without changing anything.

Reviewing AI Edits

How the AI applies an edit depends on your AI permission mode:

• In a reviewing mode, the AI shows you a card with the file and a summary of the changes. Nothing changes until you approve it.
• In an automatic mode, the AI makes the change right away and it appears in the AI changes list.

Edits that remove content always ask for your confirmation first.

AI Changes and Reverting

Every file has an AI changes button in its header, with a count of the AI edits that are still in place. Click it to see each change the AI made to the file, newest first:

• What changed, for example "Rewrote clause 4 (liability) and added clause 5".
• Who made it and where, for example Ana · AI Chat in this file for the panel in the file, Ana · AI Chat for AI Chat in the right rail or the AI Chat area, or an agent's name.
• When, and how much of the file it touched.

Revert an Edit

1. Click AI changes in the file header.
2. Find the change and click Revert.
3. The file goes back to how it was before that change, for everyone.

You can revert a change at any time, not only right after it was made. A reverted change is marked Reverted and shows an Undo button, so you can bring it back if you change your mind.

When People Edited the Same Parts

If someone edited a part of the file after the AI changed it, the list tells you, for example "People changed 1 paragraph after this edit." When you revert, you choose what to do:

• Revert the rest, keep their changes — Keeps your teammates' later edits and reverts everything else.
• Revert everything — Puts every part back to how it was before the AI change, overwriting the later edits in those parts.

Copera names the parts that will change before you confirm. Whatever you choose can be undone, and version history keeps every earlier version as a safety net.

Very Large Edits

For a very large AI edit, such as rewriting a whole document, the list offers Restore the version before this edit instead of a revert. This restores the file from version history as a new version, so nothing is lost.

Revert Everything From One Request

When one AI Chat request changed several files, the AI Chat receipt has a Revert all from this run button. It reverts every change from that request, in every file. Files you can't edit are skipped and counted, so the others are still reverted. If people edited some of those parts afterwards, Copera reverts everything else first and then asks what to do with those parts: keep their edits, or Revert everything and overwrite them.

Agents and Office Files

Agents can read, create and edit Office files too:

• An agent's edit follows the approval rules its admins set. When an edit needs approval, the approval card appears in the agent's channel.
• The agent's edits appear live in the file, show the agent's name, and are listed in AI changes, where you can revert them like any other AI change. The agent's run receipt also offers a revert.
• When an agent drafts a file for you, you can edit it.

Who Can Do What

• Anyone who can open a file can see its AI changes list.
• Reverting a change needs edit access to the file.

Tips and Best Practices

Use the panel for focused work on the file in front of you, and AI Chat for anything that touches more than one file. The panel's limit to one file keeps a quick request from changing something else by accident.

Give the AI your source: @mention the board, spreadsheet or meeting notes that hold the real numbers, so the result uses your data instead of placeholders.

Frequently Asked Questions

Can the AI panel edit other files?

No. The panel in a file can only edit that file. It can read boards and files you @mention for context. To work across files, use AI Chat in the right rail.

Can I undo an AI change from yesterday?

Yes. Open AI changes in the file and click Revert on that change. AI changes stay revertible as long as the file keeps its version history.

What if my teammates edited the same text after the AI?

Copera tells you which parts were edited afterwards and lets you revert only the untouched parts or everything. You can undo the revert if needed.

Does reverting delete history?

No. A revert is a new change on top of the file. It appears in the list and can itself be undone, and earlier versions stay in version history.

Can AI Chat edit a file while I am working in it?

Yes. AI Chat and agents can edit open files. Their changes appear live, the same way a teammate's edits do.
