Office Documents

Copera Drive integrates with OnlyOffice to let you create and edit Microsoft Office documents directly in your browser. There is no need to download files, open a desktop application, make changes, and re-upload -- you can do everything within Copera.

Supported Formats

The following Office file formats can be opened and edited in the browser:

Legacy formats (.doc, .xls, .ppt) are also recognized and can be opened. The Excalidraw whiteboard format (.excalidraw) is supported as well.

Opening a Document for Editing

To edit an Office document:

  1. Navigate to the file in your Drive.
  2. Click on the file name or select Open from the context menu.
  3. The document opens in the OnlyOffice editor within Copera.

The editor provides a full-featured experience including formatting toolbars, page layout options, formula bars (for spreadsheets), and slide editing tools (for presentations).

Real-Time Collaboration

When multiple workspace members open the same document, they can edit it simultaneously. Each collaborator's cursor and selections are visible in real time, along with their name label. This allows your team to:

  • Co-author documents together without version conflicts.
  • Review and comment on content in real time.
  • See exactly what each team member is working on.

Real-time collaboration works automatically -- there is no special setup required. Simply share the file with your teammates and have them open it.

Saving Changes

Changes are saved automatically as you edit. The OnlyOffice editor periodically syncs your changes back to Drive, so you do not need to manually save. If you close the browser or navigate away, your latest edits are preserved.

The file's size in Drive is updated after each save to reflect the current document size. This may cause small changes to your workspace's used storage.

Downloading Edited Documents

After editing a document, you can download the latest version:

  1. Use the Download option from the file's context menu in Drive.
  2. The downloaded file reflects all saved changes, including edits made by other collaborators.

You can also use the OnlyOffice editor's built-in download or export features to save the document in different formats.

Cache Behavior

Office documents in Drive are configured with no-cache headers to ensure you always see the latest version when opening them. This prevents outdated content from being served by browser or CDN caches, which is especially important when multiple people are collaborating on the same file.

Tips for Office Document Collaboration

  • Share the file before collaborating. Ensure all intended editors have at least Member-level permission on the file or its parent folder.
  • Use comments for feedback. The OnlyOffice editor supports inline comments, making it easy to leave feedback without altering the document content.
  • Check the revision history. OnlyOffice tracks changes, allowing you to review what was modified and by whom.
  • Work on supported formats. For the best editing experience, use .docx, .xlsx, or .pptx formats. Legacy formats may have limited feature support.
