Workspace Settings

Workspace settings are managed by Administrators and the workspace Owner. These settings control your workspace's identity, membership, billing, roles, teams, and integrations.

To access workspace settings, go to Settings from the sidebar and select the workspace section.


General

Manage your workspace's basic information and preferences.

Danger zone (Owner only)

These actions are irreversible and only available to the workspace owner:

  • Transfer ownership — Hand over ownership to another workspace member (requires password confirmation)
  • Delete workspace — Permanently delete the workspace and all its data
  • Leave workspace — Non-owners can leave a workspace they no longer need access to

Deleting a workspace removes all channels, boards, documents, files, and member data permanently. This action cannot be undone.


Billing & Subscription

Copera uses a mix-and-match seat model: every workspace is free by default, and you only pay for the specific members who need more AI, storage, or inboxes. Paid resources pool at the workspace level, so anyone can use them.

How the seat model works

Your workspace can mix three types of seats:

Every workspace starts free with unlimited seats, 20 GB of drive, and a $5/month AI gift (non-cumulative). You add Pro or Max seats only for the specific members who need more power.

Pro and Max seats are sold in lots — you can't buy a single Pro or Max seat. The smallest Pro purchase is 5 seats ($100/month); the smallest Max purchase is 3 seats ($300/month).

Pooled resources

All AI credits, drive storage, and inboxes from paid seats pool at the workspace level. Any member — paid or free — can use them, subject to your workspace's access settings. For example, if you buy 5 Pro seats, the workspace gains a pooled $200/month in AI credits, 500 GB of extra drive, and 5 extra inboxes that your whole team can draw from.

Free seats can also use pooled resources when admins enable it. This lets you put a few "power" members on Pro or Max and share the benefits with everyone.

Plan overview

The billing page shows your workspace's current mix at a glance:

  • Free seats — Unlimited; the count of members not assigned to a paid seat
  • Pro seats — Purchased in lots of 5, shown as "X assigned of Y purchased"
  • Max seats — Purchased in lots of 3, shown as "X assigned of Y purchased"
  • Pooled AI credits — Total monthly AI budget from the free gift plus all paid seats
  • Pooled drive — Total storage from 20 GB free plus paid-seat contributions
  • Pooled inboxes — Total inboxes unlocked by paid seats
  • Status — Active, Paused, Trial, or Trial Will End (with end date)
  • Manage seats — Buy more Pro/Max lots or release paid seats back to free
  • Assign seats — Choose which members sit on Pro or Max seats

Overage pricing

If your workspace needs more drive or inboxes than your pooled allowance, overage is flat and has no plan-based discount:

There are no per-file size limits — a single large video, design file, or archive is fine as long as your pooled drive covers it.

Payment management

  • Credit card — View, update, or replace your payment card
  • PIX — Renew subscription via PIX QR code (available within 7 days of renewal)
  • Invoices — View your full billing history and past invoices

Enterprise

Workspaces with 100 or more users automatically move to Enterprise, which is negotiated directly with Copera sales. Enterprise pricing is tailored to your team's mix of Pro and Max seats, pooled AI, drive, and inbox needs. The Copera sales team will reach out as you approach 100 users — no surprise charges.


Members

Manage who has access to your workspace. For full details on inviting and managing members, see Invite Team Members.

The Members page is organized into four tabs:

Member actions

  • Invite member — Send email invitations to new users
  • Change role — Assign a different workspace role to a member
  • Remove member — Deactivate a member's access
  • Revoke invite — Cancel a pending invitation
  • Transfer ownership — Make another member the workspace owner (owner only)

The header shows your workspace's seat mix — unlimited free seats plus how many Pro and Max seats you've purchased and how many are currently assigned to members.


Roles & Permissions

Create custom roles to control what members can do in your workspace.

Default capabilities

Custom roles

You can create custom roles with specific permissions:

  1. Go to Settings > Roles
  2. Click Create Role
  3. Set a name, color, and description
  4. Toggle the permissions you want to grant:

Custom roles can then be assigned to members from the Members page.


Teams

Organize your workspace members into teams for easier management and collaboration.

Creating a team

  1. Go to Settings > Teams
  2. Click Create Team
  3. Enter a team name and description
  4. Add members to the team
  5. Click Save

Managing teams

  • View all teams in a card grid layout
  • Edit team name, description, and members
  • Delete teams that are no longer needed

Teams help you quickly assign groups of people to channels, boards, or projects instead of adding members individually.


Integrations & API Keys

Connect external services to your workspace using API keys.

Creating an integration

  1. Go to Settings > Integrations
  2. Click Create API Key
  3. Enter a name for the integration
  4. An API key is generated — copy it immediately

Keep your API keys secure. Do not share them publicly. If a key is compromised, delete it and create a new one.

Managing integrations

  • Copy key — Click to copy the API key to your clipboard
  • Edit — Rename the integration or regenerate the key
  • Delete — Remove the integration permanently

Inbox Settings

Configure email inboxes and domains for your workspace. This is where you manage the email infrastructure that powers the Inbox feature.

Domains

Set up email domains so your team can send and receive emails from your organization's domain (e.g., @yourcompany.com):

  1. Go to Settings > Inbox > Domains
  2. Add your domain
  3. Configure DNS records (MX, TXT, DKIM) as instructed

Inboxes

Once a domain is configured, create inboxes for your team:

  1. Go to Settings > Inbox > Inboxes
  2. Click Create Inbox
  3. Configure the inbox name and email address
