Invite Team Members
Copera is built for teams. Once your workspace is set up, the next step is to invite the people you work with so you can start communicating and collaborating together.
How to invite members
- Open Settings from the sidebar
- Go to the Members tab
- Click Invite Member
- Enter one or more email addresses
- Choose the user type: Member or External (beta)
- Optionally add a custom invite message
- Click Send Invitation
Each invitee receives an email with a link to join your workspace. Once they accept, they'll appear in the Members list.
User types
When inviting someone, you choose their user type which determines their level of access:
| Type | Access Level | Best For |
|---|---|---|
| Member | Full access to the workspace — can see all public channels, create boards, documents, and files | Employees and core team members |
| External (beta) | Limited access to specific channels and boards only | Clients, contractors, and partners |
External users
External users are ideal for collaborating with people outside your organization without giving them full workspace access:
- You must select at least one channel to grant them access to
- You can optionally grant access to a specific board
- You can set an expiration date so their access is automatically revoked
- External users appear in a separate Guests tab in Settings
Managing your team
The Members section in Settings gives you a complete view of everyone in your workspace, organized into tabs:
| Tab | Shows |
|---|---|
| Invites | Pending invitations that haven't been accepted yet |
| Members | Active workspace members |
| Guests | External collaborators |
| Removed Members | Deactivated users |
What you can do
- Search — Find members by name, email, title, or role
- Update roles — Change a member's permissions or user type
- Remove members — Deactivate a user's access to the workspace
- Revoke invites — Cancel pending invitations before they're accepted
- Monitor seats — View your seat mix: unlimited free seats, plus how many paid Pro and Max seats you've purchased (in lots of 5 and 3) and how many are currently assigned to members
There's no fixed seat pool to run out of. Free seats are unlimited — you can always invite more teammates. Paid Pro and Max seats only apply to the specific members you want to give more AI, drive, and inboxes to, and you buy them in lots when you need them. See Billing & Subscription for how paid seats and pooled resources work.
Workspace roles
Copera uses role-based access control at the workspace level. The key roles are:
| Role | Capabilities |
|---|---|
| Owner | Full control — can transfer ownership, delete workspace, manage billing, and everything below |
| Administrator | Can manage members, change workspace settings, create channels, and manage permissions |
| Member | Can create and edit boards, documents, files, and participate in all public channels |
Only Administrators and the workspace Owner can invite new members and manage workspace settings. Regular members cannot invite others unless given admin privileges.
Board-level permissions
Beyond workspace roles, Copera has granular permissions at the board level. Board owners can assign specific roles to control who can view, edit, create, or delete rows. See Board Permissions for details.
What to do next
Once your team is on board, set up the tools you'll use together:
- Create text channels — Organize conversations by topic or project
- Set up a meeting channel — Have your first video call
- Create a board — Start managing tasks and projects
- Share documents — Collaborate on documents in real time
