Scheduling

Meeting channels in Copera are always available for ad-hoc calls, but sometimes you need to plan ahead. The scheduling feature lets you set up meetings in advance so participants know when to join and can block the time on their calendars.

Setting up a scheduled meeting

To schedule a meeting in a meeting channel:

  1. Open the meeting channel's details dialog (click the channel name or the info icon in the header).
  2. Navigate to the Call Schedule tab.
  3. Click Set up schedule to create a new scheduled meeting.
  4. Fill in the scheduling form:
    • Date and time -- choose when the meeting should start.
    • Duration -- set the expected length of the meeting.
    • Recurrence (optional) -- configure the meeting to repeat on a regular basis (daily, weekly, etc.).
  5. Save the schedule.

How participants are notified

When a meeting is scheduled, all members of the meeting channel are notified. Upcoming scheduled calls also appear in the channel header so participants can see at a glance when the next meeting is planned. As the scheduled time approaches, participants receive a reminder notification.

Managing scheduled meetings

From the Call Schedule tab in the channel details, you can:

  • View all schedules -- see a list of all scheduled meetings for the channel, including recurring ones.
  • Edit a schedule -- change the date, time, duration, or recurrence of an existing schedule.
  • Delete a schedule -- remove a scheduled meeting that is no longer needed.

Each schedule entry shows the date, time, and recurrence pattern so you can quickly understand the meeting cadence.

Recurring meetings

For regular team standups, weekly syncs, or any meeting that happens on a predictable schedule, you can set up recurrence when creating the schedule. The meeting will automatically appear on the channel's agenda at the configured interval without needing to be recreated each time.

Joining a scheduled meeting

When the scheduled time arrives, participants can join the meeting channel as they normally would -- click the channel in the sidebar and connect. The scheduled meeting does not create a separate link or room; it uses the same persistent meeting channel. The schedule simply serves as a coordination tool to ensure everyone knows when to show up.

You can combine scheduling with transcription to create a seamless workflow: schedule a recurring weekly meeting, enable transcription when it starts, and use AI summaries to automatically distribute notes to the team after each session.
