Mentions

Mentions let you reference people, documents, channels, and board rows directly inside your document content. They create clickable links and can trigger notifications, making it easy to connect your writing to the rest of your workspace.

User Mentions

Type @ followed by a person's name to mention a team member:

  1. Type @ in the editor. A dropdown appears showing matching workspace members.
  2. Continue typing to filter the list.
  3. Select a person from the dropdown or press Enter to confirm.

When you mention a user:

  • Their name appears as a highlighted, clickable link in the document.
  • They receive a notification alerting them that they were mentioned.
  • Clicking the mention opens their profile.

User mentions are useful for assigning responsibility, asking for input, or drawing attention to specific sections of a document.

Document Mentions

Reference another document in your workspace by typing @ and searching for the document title:

  1. Type @ and start typing the name of the document you want to link.
  2. The dropdown shows matching documents from your workspace.
  3. Select the document to insert a mention.

Document mentions appear as clickable links. Clicking them navigates directly to the referenced document, making it easy to create cross-references within your knowledge base.

Channel Mentions

Reference a chat channel by typing # followed by the channel name:

  1. Type # in the editor. A dropdown appears showing matching channels.
  2. Select the channel from the list.

Channel mentions create a direct link to the referenced channel. They are helpful when your document references discussions or decisions made in a specific channel.

Board Row Mentions

Reference a specific row from a project board directly in your document:

  1. Type @ and search for the board row by title.
  2. Select the row from the dropdown.

Board row mentions create a clickable link that takes the reader directly to the referenced row in the board. This is especially valuable when documents describe requirements, track decisions related to specific tasks, or serve as meeting notes that reference action items.

Transcription Mentions

In documents that contain meeting notes or transcription summaries, you can mention specific transcription entries. This links your written content back to the original spoken record, providing traceability between meeting discussions and documentation.

How Notifications Work

When you mention a user with @, they receive a notification in their Mentions panel (accessible from the top navigation bar). The notification includes:

  • The name of the document where they were mentioned.
  • A preview of the surrounding text for context.
  • A direct link to jump to the exact location in the document.

Notifications ensure that mentioned team members are aware of content that requires their attention, even if they are not actively viewing the document.

Best Practices

  • Use user mentions for accountability --- When a document describes tasks or next steps, mention the responsible person so they receive a notification.
  • Use document mentions for cross-referencing --- Link related documents together to build a connected knowledge base.
  • Use channel mentions for context --- When referencing a discussion that happened in a channel, link to it so readers can find the full conversation.
  • Use board row mentions for traceability --- Connect documentation to specific tasks or issues in your project boards.
