Kanban View
The Kanban view transforms your board data into a visual card-based layout organized into columns. Each column represents a value from a grouping field --- typically a Status or Dropdown column --- and each card represents a row in your table. Drag cards between columns to update their field value instantly, making the Kanban view ideal for tracking workflows, managing pipelines, and visualizing progress at a glance.
Setting Up a Kanban View
When you create a Kanban view, you are asked to configure:
- Grouping column --- The Status, Dropdown, or Users column whose values define the Kanban columns. Each unique value becomes its own column.
- Visible columns --- Choose which fields appear on each card. The title is always shown; additional fields appear as secondary details below the title.
- Access --- Set the view to Everyone or Private.
After saving, the Kanban board populates automatically based on your data.
Kanban Columns
Each Kanban column corresponds to one option in your grouping field. If you are grouping by a Status column with options like "To Do", "In Progress", "In Review", and "Done", you will see four columns plus an optional "Empty" column for items that have no status assigned.
- Column order follows the order defined in the column options configuration.
- Column colors match the colors assigned to each option, giving you a quick visual indicator.
- Empty column appears automatically when items exist without a value for the grouping field.
Drag and Drop
The core interaction in Kanban view is drag and drop:
- Move between columns --- Drag a card from one column and drop it into another to update the grouping field value. For example, dragging a card from "In Progress" to "Done" sets the item's status to "Done".
- Reorder within a column --- Drag a card up or down within the same column to change its position. The new order is preserved.
The drop position is calculated in real time, with a visual indicator showing exactly where the card will land.
Card Appearance
Each card displays:
- Title --- The primary identifier of the row, always visible.
- Visible field values --- Additional columns you chose during view setup, such as assignee avatars, due dates, labels, or priority indicators.
- Color indicator --- If the grouping column has colors, the card inherits a subtle color accent.
Adding Items
Click the + New Row button at the bottom of any column to create a new item directly in that column. The new item is automatically assigned the column's grouping value, saving you an extra step.
Sorting and Filtering
The standard toolbar controls apply to Kanban view as well:
- Sort --- Define one or more sort rules to control the order of cards within each column. For example, sort by due date so the most urgent items appear at the top.
- Filter --- Narrow down which cards are visible. Filtered-out items are hidden from all columns.
- Search --- Type keywords to highlight matching cards and hide non-matching ones.
Groupable Column Types
Not every column type can serve as a Kanban grouping field. The supported types are:
- Status --- The most common choice for workflow tracking.
- Dropdown --- Useful for categories, priorities, or any custom list.
- Users --- Group items by assignee to see each person's workload.
Columns marked with a Kanban icon in the view creation dialog indicate that they can be used for grouping.
Tips
- Use Status columns with meaningful option names and colors to make the Kanban board self-explanatory.
- Combine Kanban with filters to create focused views --- for example, filter by assignee to see only your own tasks.
- Sort by priority or due date within columns to surface the most important items first.
- Create multiple Kanban views grouped by different columns to get different perspectives on the same data --- for example, one view grouped by Status and another grouped by Priority.
