AI in Documents

The document editor in Copera includes a built-in AI assistant that helps you write, edit, and reason about your content without leaving the editor. Whether you need to draft a paragraph, improve existing text, fix grammar, or ask questions about your document, the AI is available directly in your editing workflow.

Accessing the AI Assistant

There are two ways to invoke the AI assistant in the document editor:

Slash Command

  1. Place your cursor where you want the AI to work.
  2. Type / to open the slash command menu.
  3. Select Ask AI from the menu.
  4. The AI prompt panel appears inline, positioned right where your cursor is.

Text Selection

  1. Select the text you want the AI to work with.
  2. The AI prompt panel appears near your selection.
  3. Your selected text is used as context for the AI, allowing you to ask questions about it or request modifications.

Writing with AI

The AI assistant can help you generate new content or improve existing text:

Generating Content

Type a description of what you want in the AI prompt input field:

  • "Write an introduction paragraph for a project status report"
  • "Create a bullet list of best practices for code reviews"
  • "Draft a meeting agenda for a product planning session"

The AI generates the content and displays it in the conversation panel. You can then insert the generated text directly into your document.

Improving Existing Text

Select a paragraph or section, then ask the AI to improve it:

  • "Make this more concise"
  • "Improve the clarity of this paragraph"
  • "Make this sound more professional"
  • "Simplify this for a non-technical audience"

Fixing Grammar and Style

Select text and ask the AI for corrections:

  • "Fix grammar and spelling errors"
  • "Improve the sentence structure"
  • "Check this for consistency in tense"

Changing Tone

Transform the tone of your writing:

  • "Make this more formal"
  • "Rewrite this in a friendly, casual tone"
  • "Make this more persuasive"

Conversational Interaction

The AI prompt in documents supports a full back-and-forth conversation:

  1. Send your initial request.
  2. Review the AI's response in the conversation panel.
  3. Ask follow-up questions or request adjustments: "Can you make the second point shorter?" or "Add a conclusion sentence."
  4. Continue the conversation until you are satisfied with the result.

The conversation panel shows the full message history, and the AI maintains context from previous messages so you can refine results iteratively.

Inserting AI-Generated Content

After the AI generates text that you want to use:

  1. Review the response in the AI conversation panel.
  2. Use the action buttons that appear below the AI response to interact with the generated content.
  3. The content is inserted at the cursor position or replaces the selected text, depending on the context.

If you want to discard the AI's work and start over, close the AI prompt panel by pressing Escape or clicking outside of it. If you have an active conversation, you will be asked to confirm before discarding.

Attaching Files for Context

The AI prompt in documents supports file attachments to provide additional context:

  • Drag and drop files directly onto the AI prompt panel.
  • Use the attachment button to browse and select files from your device.

This allows the AI to reference external content when helping you write or answer questions.

Tips for Document AI

  • Be specific with instructions --- "Summarize this document in three bullet points" works better than "Summarize this."
  • Use selection context --- Select the relevant text before asking the AI a question about it. This gives the AI precise context and produces more accurate results.
  • Iterate conversationally --- Do not try to get the perfect result in one prompt. Start with a draft request, then refine with follow-up messages.
  • Keyboard shortcuts --- Press Escape or Backspace on an empty input to close the AI prompt quickly.

The AI assistant in documents works alongside real-time collaboration. You can use it while other team members are editing the same document --- your AI interactions are private and do not interfere with other editors' work.
