An "open loop" is anything where the ball is in someone else's court and hasn't come back. This recipe gives you a way to see them all at once. Ask Copera AI, and it pulls together:

  • Follow-ups you owe — the replies and check-ins on your own plate, anchored to your schedule so nothing slips before a deadline.

Log your open loops on a board

Use (or make) a board — call it Waiting On — where each row is one thing you're waiting on a reply for. Add a Waiting on people column for the person who owes you, an Asked on date, and a Status field with options like Open, Replied, and Closed. The row's comment thread is where the back-and-forth lives, and your last comment is your last ping. See Boards Overview if you're starting fresh.

Trigger: Date reached — N days after the last comment

In Automations, add a Date reached trigger set to N days after the last comment — say, 3 days. Because it counts from the last comment, it fires only when your ping has gone unanswered: if the other person replies, the clock resets and no nudge is sent.

Condition: only still-open loops

Add a condition — a Compare check or a Row filter — so the flow continues only when Status is Open. No reminders for loops you've already closed out.

Action: nudge yourself with a ready draft

Add a Send direct message action that sends you the open loop — pull the person from the Waiting on column and the row's title into the text, so it reads like "⏰ Still waiting on Priya about the Q3 brief — it's been quiet 3 days," with a link to the row. Want the reminder to reach the other person instead? Point the Send direct message at the Waiting on column, or use Send or draft email in draft mode so you approve the wording before it goes out.

Optional: keep score

Add a Set field to stamp a Last nudged date and an Increment number action on a Times nudged counter. Over a few weeks you'll see which loops keep going cold — and who to stop waiting on.

Prefer a morning sweep to per-thread timers? Swap the trigger for a Schedule — say, 8 AM daily — and open with a Find rows action that returns every Open row whose last activity is more than a few days old, then a For each loop that DMs you the batch. One flow catches the whole board each morning instead of firing row by row.

Close the loop automatically when they reply. Add a second small Automation: trigger on Comment added, add an Actor is condition for the person you're waiting on, and Set field the row's Status to Replied. Now answered threads drop off your tracker on their own, and only the truly quiet ones keep nudging.
