By the end of this recipe you can walk into any 1:1 already knowing what your report shipped, where they're stuck, and exactly what to ask — compiled by Copera AI in the minute before the meeting. Most managers either skip prep or spend twenty minutes clicking through boards, chats, and docs to reconstruct what someone's been doing. What it does​

A 1:1 prep brief is a short, on-demand summary of one direct report's recent work, assembled from data you already have. For a given person it pulls together:

  • What they shipped — the tasks and rows they've completed since your last 1:1.
  • Where they're stuck — their blocked, overdue, or stalled items, so you can help unblock them.
  • What's changed — recent comments, mentions, and decisions worth acknowledging.
  • What to ask — a few suggested talking points, plus any follow-ups you agreed on last time.

You read it right inside Ask Copera AI, or — if you build the scheduled version — it arrives as a direct message or a saved document before the meeting. Either way, nobody has to write you a status update: the work already lives in your boards, documents, and meeting notes, and the AI reads across all of it for you.

Build it yourself​

Start on the board where the work lives

Open the team task or project board that holds your report's assignments — the one whose rows represent their day-to-day work. You'll build this automation there.

Trigger: Schedule

Add a Schedule trigger set to when you want the brief — for example, every weekday at 8:00 AM, or the morning of the day you hold 1:1s.

Find what they shipped

Add a Find rows step that gathers rows where the assignee is your report and the status is Done (or that were completed in the last week or two). This becomes the "shipped" list.

Find where they're stuck

Add a second Find rows step for rows where the assignee is your report and the status is Blocked, or the due date is in the past. This becomes the "stuck" list.

Generate the brief

Add an AI → Generate step that turns both lists into a short brief: what shipped, what's stuck, and two or three suggested talking points. Keep the prompt tight — you want a scannable summary, not a wall of text.

Deliver it to yourself

Add a Send direct message action so the brief lands in your DMs before the 1:1. Prefer a shared space you can annotate together? Swap in Create document to drop it into a "1:1s" folder instead.

One board at a time

Ask right before you walk in, not the night before. The brief is only as current as the moment you request it. Run it as the meeting starts and it captures this morning's updates — the comment your report left an hour ago, the task they just closed.
