What it does

Picture the version of your inbox where you never scan it. You type one line — "what needs me today?" — and get back a short, ranked list: the three emails that actually need a reply, each with a draft already written, plus a note that you have a free half-hour at 2 PM to clear them. Everything else has been sorted, summarized, and set aside. That outcome comes from two parts working together, both available today:

  1. A background automation triages each email as it lands. The moment a message arrives, the Email/Gmail-received trigger runs AI steps that classify it, write a one-line summary, and pull out the ask and any deadline — then log it as a row on an Inbox Triage board. Only the messages that clear your "this needs a human" bar send you a ping; the rest sit quietly on the board. This is the half that touches your email, and it's what makes only what needs you reach you.
  2. You ask Copera AI for the summary, whenever you want it. Because the triaged mail now lives on a board, Ask Copera AI reads it on demand, groups it by urgency, tells you what needs a reply, and drafts each reply for your review — checking your calendar to tell you when you have time to send them. This is the primary way you interact with the system, and it takes seconds.

One honest note on the mechanics: Ask Copera AI reads your boards, your workspace, your documents, and your schedule — it does not reach into your raw mailbox itself. The automation is what brings each message into Copera and pre-sorts it; the assistant narrates and acts on the result. Connect Gmail (or your mailbox)

Create the Inbox Triage board

Make a board with an Inbox table. Add columns for Sender, Subject, Summary (short text — the AI's one-line version), Category (a select with options like Needs reply, FYI, Meeting request, Newsletter, Vendor/Bill, Other), Priority (Urgent, High, Medium, Low), a Needs reply checkbox, Received (date), and a Status. This board is your quiet holding pen and your searchable archive of everything that came in.

The triage automation

Trigger: Email received

Add an automation with an Email received (Gmail received) trigger. It runs once for every message that arrives, with the sender, subject, and body available to the steps that follow.

AI step: Classify the category

Add an AI → Classify step that sorts the email into one of your Category labels. Classify puts text into the exact labels you define, so a newsletter is a Newsletter and a client asking for something is Needs reply — consistently, message after message. Describe your categories in plain language in the prompt.

AI step: Summarize the message

Add an AI → Summarize step to condense the email into a single clear line — the ask, in your words, not the sender's. This is what turns a wall of forwarded threads into something you can scan in a second.

AI step: Extract the details

Add an AI → Extract step to pull structured fields out of the body: what's being requested, any date or deadline, and whether a reply is expected. Set the Needs reply flag from that. (Add an AI → Sentiment step too if you want a terse, frustrated message to jump a priority level.)

Action: Create the triage row

Add a Create row action on the Inbox table. Map the sender, subject, the summary, the category, the priority, the needs-reply flag, and the received date into their columns. Now every email is on the board, readable at a glance.

Condition + action: Flag only what needs you

Add a Condition that checks whether Needs reply is true (or Priority is Urgent or High). On its true path, add a Send direct message or Send notification to yourself with the summary and a link to the row. Everything on the false path just rests on the board silently. This is the line that keeps your attention for the mail that has earned it.

Tune the classifier with your own language. The quality of the whole system lives in the Classify step's prompt. Spell out your categories the way you'd explain them to a new assistant — "anything from a paying customer asking a question is Needs reply; anything automated or promotional is Newsletter." A few sharp sentences here mean fewer false pings later.

Let the board be your record, not just your queue. Because every email lands as a row, you can later ask Copera AI things like "how many vendor bills came in this month?" or "find the thread where the contract deadline was mentioned."
