Rooms and Navigation

The Copera Virtual Office is a spatial 2D workspace where rooms are bounded conversation spaces and the open lobby surrounds them. You walk your avatar around a top-down floor plan, move between rooms with a right-click, and spawn back at your last position when you return. This page explains how to pan and zoom the map, the five types of rooms (common areas, meeting rooms, focus rooms, social spaces, and private rooms), and how Copera remembers your last location for 24 hours so you pick up exactly where you left off.

Getting around the office

When you enter the Virtual Office, you see a top-down map of your workspace with rooms drawn on a grid, team members' avatars placed across the floor plan, and an open lobby space outside the rooms. You can pan around the canvas, zoom in on specific rooms, and walk your avatar to any spot you want to be.

Panning the map

To look around the office without moving your avatar:

  1. Click and hold anywhere on the empty canvas.
  2. Drag in the direction you want to see.
  3. Release to stop panning.

The map is 5000 by 5000 pixels, so there is plenty of room for large teams. When you first enter, the map automatically centers on the middle of the office.

Zooming in and out

Use the zoom controls in the bottom-right corner of the map:

  • Plus (+) -- Zoom in to see details or specific rooms up close.
  • Minus (-) -- Zoom out for a bird's-eye view of the whole office.
  • Reset -- Click the percentage (for example, 100%) to return to the default zoom.

Zoom levels range from 25% (fully zoomed out) to 300% (fully zoomed in) so you can adjust the view to fit your screen and preferences.

Moving your avatar

To walk your avatar to a new spot:

  1. Right-click anywhere on the map where you want to go.
  2. Your avatar moves to that position instantly.

If you right-click inside a room, you enter that room. If you right-click on empty space outside any room, you move into the open lobby area. Your new location is automatically broadcast to everyone else in the office so they can see where you are.

tip

The bottom of the map shows a hint -- "Drag to pan, right-click to move" -- when you first enter the office. This is the quickest way to remember the controls.

Room types

Your admin can build rooms of different kinds to match how your team works. Every room has a name, a color, and an icon that helps you recognize it at a glance.

Common areas

Open rooms that anyone can walk into. These are best for:

  • The lobby -- The default meeting spot where colleagues gather before heading elsewhere.
  • Coffee corners -- Casual areas for a quick break or catching up.
  • General zones -- Departmental areas like Engineering, Design, or Marketing.

Common areas are marked with icons like a coffee cup, a plant, or a star. Anyone in the office can enter without asking.

Meeting rooms

Dedicated spaces for team discussions, planning sessions, and calls. Meeting rooms typically show a building icon or a speech bubble. Walk in, start talking, and leave when you are done -- no scheduling required.

Focus rooms

Quiet spaces for concentrated solo work. Some teams use these as do-not-disturb zones where the expectation is that you are heads-down. A focus room might show a headphone or a silence icon.

Social spaces

Casual hangout areas like virtual break rooms, game rooms, or coffee chats. These often have ambient music playing (see Audio and Video) to create the feel of a real social space.

Private rooms

Rooms marked as private require permission to enter when someone is already inside. When you try to walk into an occupied private room, Copera sends a knock to everyone in that room. A person already inside must accept your knock before you can enter. If no one is inside yet, you can enter freely.

When you knock on a private room:

  1. A "Waiting for Access" dialog appears on your screen.
  2. Everyone in the room sees a notification with your name and avatar, plus Accept and Deny buttons.
  3. If accepted, you are automatically moved into the room.
  4. If denied, the notification closes and you stay where you are.

You can click Cancel on the waiting dialog at any time to withdraw your knock.

Room indicators

Each room shows useful information at a glance:

You can see all of these without entering the room, so you know what to expect before you walk in.

Position persistence

Copera remembers where you were the last time you were in the Virtual Office. When you return -- whether minutes, hours, or even a day later -- your avatar reappears at the same spot you left. This means:

  • If you were in a specific meeting room when you logged off, you come back into that room.
  • If you were hanging out near a colleague's desk, you return to that corner.
  • If you had stepped out into the open lobby, you spawn in the same lobby position.

Your last position is stored for 24 hours, so short breaks, lunch pauses, or even overnight breaks will pick up right where you left off. After 24 hours of inactivity, you start fresh at the Central Lobby.

If the room you were in has since been deleted or moved by an admin, Copera automatically places you at the Central Lobby so you never end up "stuck" in a missing space.

Conference mode

When two or more people are in the same room, a Conference Mode button appears near the bottom of the map. Clicking it switches the whole view from the 2D floor plan into a classic video-grid view with everyone's cameras showing.

Conference mode is great for:

  • Focused meetings where you want everyone visible.
  • Presentations or screen shares where tiles need to be large.
  • Any conversation that has moved beyond a quick spontaneous chat.

To leave conference mode and return to the map view, click the X in the top-right of the conference window. Your avatar stays in the room, so you simply slide back into the spatial view without disconnecting.
